SECTION 01

Overview

This Refund & Cancellation Policy applies to all fee payments made to KSG College of Arts and Science (run by KSG Educational Trust), affiliated to Bharathiar University, Coimbatore. This policy is framed in accordance with the guidelines issued by the University Grants Commission (UGC) and applicable regulations for institutions accepting online payments through Razorpay.

SECTION 02

Refund Eligibility

Refunds are applicable under the following circumstances:

  • Cancellation of admission by the student before the commencement of the academic session
  • Duplicate or excess payment made through error
  • Non-commencement of the program by the institution
  • Withdrawal due to medical emergencies (with valid medical documentation)
  • Migration to another institution (with proper documentation and No Objection Certificate)
SECTION 03

UGC Refund Guidelines — Fee Refund Schedule

As per UGC norms, the following refund structure applies for cancellation of admission:

SECTION 04

Non-Refundable Fees

The following fees are non-refundable under any circumstances:

  • Application / Registration / Processing Fee
  • Examination fees (once registered for examination)
  • Hostel deposit / caution money forfeiture charges (if applicable)
  • Any fee for services already rendered by the institution
SECTION 05

Cancellation Process

To initiate a cancellation and request a refund, follow these steps:

  1. 1Submit a written application addressed to the Principal, KSG College of Arts and Science
  2. 2Attach original fee receipts and admission documents
  3. 3Provide reason for cancellation with supporting documents (if applicable)
  4. 4Application must be submitted in person or via registered post to the college address
SECTION 06

Refund Processing

  • Approved refunds will be processed within 15–30 working days from the date of approval
  • Refunds for online payments will be credited back to the original payment method via Razorpay
  • Refunds for offline payments will be made via NEFT/bank transfer to the student's or parent's bank account
  • A refund confirmation will be sent to the registered email address
SECTION 07

Duplicate / Erroneous Payments

  • If a duplicate payment is detected, the excess amount will be refunded automatically within 7–10 working days

  • Provide the transaction ID and payment receipt for faster resolution
SECTION 08

Dispute Resolution

  • All disputes shall be subject to the exclusive jurisdiction of courts in Coimbatore, Tamil Nadu
  • Students may approach the Grievance Redressal Cell of the college for dispute resolution
  • If unresolved, disputes can be escalated to Bharathiar University's grievance mechanism
